Yo, Exhibitors! Come Make Good!

On Sunday, Sept 7, thousands of enthusiastic people will arrive at GreenFest Philly with a hunger for solutions and an appetite for fun. Some folks will be just plain hungry. Come do good and do well at this major new, blocks-long regional event – in the heart of Philadelphia. GreenFest Philly 2007 , 14000 people came to the event along four city blocks. In 2008 we hope to expand to six blocks plus some satellite venues. And we’ve gone regional, expecting upwards of 20,000 people.

WHO’S COMING:

Based on last year’s success and this year’s expansion, we expect upwards of 20,000 people, arriving hungry to learn, join, buy, make merry and eat the right stuff.

MISSION:

To accelerate the pace of greening in Philadelphia and the planet.

THEMES:

The ’08 festival is being organized around the theme of water. So try to figure out how your company or organizations helps conserve water, minimize storm water runoff or collect and re-use water. We would like every organization to have a panel or display quoting some water facts and their water conservation techniques.

SPACES:

200 spaces are available including room for up to 10 food vendors. Each vendor space is about 10’ x 10’ and comes with a 6’ table and one chair.* Additional chairs and tents can be rented at an additional cost. *Exceptions will be considered. We suggest your applying immediately.

GREEN CRED’s:

Your company or service should authentically be green. Whether it’s your policies, programs, materials or merchandise, sustainability should be at the heart of any exhibitor’s mission and/or presentation. If applicable, cite your membership in Co-op America or the SBN.

ENCOURAGING:

We applaud your interactive displays and demonstrations.

GREEN MATERIALS:

Exhibitors are strongly encouraged to use biodegradable materials for signage and displays. Styrofoam and plastic bags will be prohited at the event.

SET UP:

GreenFest is Sunday, September 7, 2008 from 11am-6pm on 2nd & South Streetsreet in HeadHouse Square. Load-In times will be assigned between 8am and 10am. If you arrive after 10am, you may not be able to access your booth space with a vehicle.

ZERO WASTE:

We will work with recycling organizations to divert close to 100% of the waste stream at GreenFest Philly. Our policy is Zero Waste, so take home what we cannot fully recycle at the festival. Special rules apply to food vendors. All exhibitors agree to this policy.

ACCEPTANCE:

Under general rules—Exhibitor will set up during assigned hours, remain for duration of festival, clean up 100%, use only biodegradable paper (paper products for food vendors will be provided for free by SBN), provide their own biodegradable utensils and staff at least one person at their space at all times while GreenFest is open.

Email notice of acceptance will direct you to send a check or make an online payment. All applications received after August 15th are subject to rush registration fees, and amenities such as the option to add tents or electricity are no longer available. Rush Registration will close on September 1 and we intend to sell out.

9. 1 or 2 sentences describing green aspects of your food or service (which may appear on our web site or in promotional materials about the festival)

10. Description of your display or demo and approximate size; what you will be selling (if anything).

11. Will students or other groups be involved?

12. Are you a member of SBN (Sustainable Business Network)?

13. Do you need electricity? What volts/amps needed? (see additional fees)

14. Please list whether or not you will be providing your own table, tent or chair or if you will be requesting anything beyond the table and chair that your space comes with. (see additional fees)

15. Do you agree to ALL rules and conditions?

16. Finally, state the amount of fee you understand to be paying in total if accepted, listing what type and size of organization you are (ie large non-profit, small for profit).

FOOD VENDORS ADD:

17. Type of food, portion size and price.

18. Confirm that you carry business liability in the amount of $1 million. With what carrier? What is period of policy?

19. Verification of licensing for Festival WITH CITY for food vendors.

Please do not make a payment until you have been accepted as an exhibitor. We are nearing capacity and may not be able to accept everyone who applies. Thank you.
